How to prepare an industrial BOQ and technical sourcing enquiry

For multi-manufacturer requirements, precise technical information helps buyers and suppliers assess quotations consistently. Use this checklist when preparing an industrial materials enquiry for a project in Kazakhstan or the wider CIS region.

Open request for quotation

1. Gather the requirements

Provide a bill of quantities (BOQ), item description, required quantity and unit, manufacturer/model references when specified, installation conditions and delivery location. Attach drawings, datasheets and project specifications when available.

2. Clarify technical details

Check voltage, dimensions, materials, certifications, environmental ratings and interface requirements wherever relevant. Missing technical information should be clarified before comparing offers.

3. Compare suppliers and proposed alternatives

Compare the exact manufacturer and model, technical compliance, exceptions, unit of measure, quantity, currency, quotation validity, lead time and delivery basis. A proposed alternative requires explicit technical review and purchaser acceptance; similarity of category is not proof of equivalence.

4. Confirm documents and delivery terms

Where the project requires them, ask for manufacturer datasheets, conformity documents or project-specific certificates. Confirm packing, shipment documents, delivery milestones and responsibilities before ordering.

Frequently asked questions

Can a BOQ contain items from different manufacturers?

Yes. Group related items clearly and identify manufacturer references where required. Availability and supply terms must be confirmed through each quotation.

Can suppliers propose alternative brands?

Potential alternatives should be evaluated against the project specification and accepted by the purchaser before being treated as compliant.

Are prices and stock guaranteed online?

No. The catalogue supports quotation enquiries; price, stock and lead time should be confirmed for each requirement.

What usually delays an RFQ?

Incomplete model information, missing units or quantities, unclear delivery terms and unspecified certification or installation requirements can slow down technical clarification.
